PRINCIPLES OF MindMapping

Over the course of your life, your brain works really hard to store data. It’s a bit like a giant filing cabinet with every fact you’ve ever learned stored away somewhere in the deepest darkest recesses of your memory.

Furthermore, the older we get, and the more technology advances, the more complex this information store becomes.

I am sure we are all familiar with the feeling that information has “gone in one ear and out of the other”! In truth, the information in question has gone nowhere, but it just feels this way because we have difficulty locating it when we need it most.

This is where the technique of “Mapping” is invaluable.

Mapping helps us to unlock valuable information whenever we need it, clarify the information into sensible and relevant thought patterns, and quickly see the “wood for the trees”.

To begin to understand how Mapping works, consider the 2 examples below:

Example 1:

Imagine you need to summarise a large book or hefty document. You will have been told in school to highlight the keywords with a pen.

The reason this technique works is that whilst it is impossible to recall an entire book or document when you need it, it is indeed possible if you can remember these keywords, since the keywords will then enable you to remember the rest of the information.

The keywords don’t mean much on their own but when you connect, order and associate them they form a comprehensive summary.

Equally as important, highlighting the keywords allows you to eliminate information which is less important i.e. sort the “wheat from the chaff”.

The secret, then, is in choosing the right keywords!

N.B. The keyword technique for remembering large amounts of data only works if you use individual words rather than entire sentences. Using keywords multiples the number of links and connections you can make to other words, and hence the amount of information you can remember, since words are specific, whereas sentences are general.

Example 2:

If you have an important presentation to do, it is likely you will write out your speech on memory cards. You do this by writing one or more keywords on each card.

Once again, the keywords won’t mean much on their own, but once you put the cards in the right order, and your brain connects the words, they form a comprehensive and effective presentation.

So…with the right keywords written down on the memory cards, in the right order, you will have no problem remembering your entire presentation, since the keywords stimulate the surrounding information.

Furthermore, your presentation will be delivered in a natural and unstilted way, since it will be “in your own words”, and not read from a script.

The secret, once again, is in choosing the right keywords!

Mapping, then, is keyword driven.


Since your brain stores information through keywords and their linkages to other information,it is the keywords which are “key” to unlocking the information you need, quickly and effectively.
You were undoubtedly taught this “keyword” technique at school, in the hope that it would help you to learn vast amounts of information quickly, but the same technique is equally important in the workplace, since it allows us to access our knowledge and experience quickly and effectively.

Mapping stimulates the memory, and helps you to access the large store of information in your brain. It allows you to develop a visual picture of the information you need, and exactly as the brain would store it, so that your work become seamless – from random, scattered thoughts straight through to results!

But Mapping doesn’t only allow you to access the vast store of information you already have available to you in your brain.

Even better, it allows you to come up with new creative ideas and breakthrough solutions. This occurs because once you have a visual picture of your thinking laid out in front of you, you can suddenly see new connections which might never have occurred to you before.

It is the ability to link together keywords in new ways which leads to innovation and “out of the box” solutions.

Once again, it is the keywords which are “key”, but this time, the secret is in which keywords are linked to which, and in which new and unique ways.

just start with the title of your task or project.

you never thought you knew!

The smartest way to learning and remembering – MindMapping

Memory is an important aspect of any learning. Without remembering what we learnt, the whole exercise becomes wasteful.

Memory is a crucial element of our life and therefore learning techniques that could enhance our memory will have practical and lasting value for us at all times.

1. Learning to connect any new learning with acquired information is one of the strongest methods for retaining information. The relations between different elements and the connecting thread among them will serve to trigger a great deal of insight, imagination and creativity. 2. Using whole-brain thinking deepens your knowledge and improves understanding. When we analyze information through logic, sequencing, etc., which are left-brain activities, along with the right brain-attributes of imagination, daydreaming, spatial awareness, etc., we are looking at an issue from different perspectives and this adds to gaining a wider dimension of the information.

3. Giving full attention to learning or listening.

4. Building the information into an imaginative picture, with running images lends vividness and clarity and increases understanding and recollection.

5. You can spin a story out of the information so you have a chain of events, which convey the essence of the information in a story-like format.

6. You can use acronyms, where the first word of a set of words forming meaningful information is taken and this set of joined words will then stand for the word and the meaning behind them. For e.g. try to use acronyms for learning Newton’s laws.

A Beginner's Guide to Mind Mapping Meetings

Do you have trouble keeping up with meetings because you can't take notes as fast as the speaker talks?

If you do jot down some thoughts and ideas, by the time you re-read your notes they make no sense?

If this sounds like you, a meeting mind map may be just what you need. Here is a quick start guide that will give you some pointers you can use to get off to a great start with mindmapping.

First, a few concepts—many of these will come clear as you read through the article:

Mind mapping is a free flowing tool. There are no rights or wrongs to the process.

Many people recommend using many different colored pens and drawing pictures. This may or may not be for you—yet anyway.

You can refine your mind mapping method as you go.

Mind mapping is designed to use both sides of your brain—mind mapping involves your right and left brain thinking.

The colors and picture drawing are the creative side, the note taking is the analytical side. By involving both sides of your brain you get better retention, more free-flowing ideas and maintain concentration.

Only a few simple graphics will get you started:

An arrow from one item to another indicates that one idea flows from one item to another

An arrow pointing both ways indicates the subjects are of equal value and relate to one another
A box or idea with no arrow is a floating topic. This is typically an important idea but off topic. It basically hovers outside your map but is there in case you need it.


To get started mind mapping a meeting, get the agenda ahead of time if possible.


In the center of your mind map, write the main topic of the meeting:

From this central idea all the sub-topics will flow. So outward from the center, you would write in the sub-agenda items. It doesn't matter what order you choose to list these. Mind mapping considers each idea equal until you change it later.


You now have a basic mind map of your meeting. This is a clear overview of your meeting from start to finish. If someone brings up an unrelated topic, you would simply make that a floating sub-topic. It may be important, but it's unrelated. These can be thoughts of yours or something someone else says.

Mind Mapping in Action

As people present ideas and concepts at the meeting, simply draw off a branch from the sub-agenda items and write a main idea. You can choose to circle the idea, draw a picture around it (like a star) to emphasize important points. If you feel like doodling next to an idea, by all means doodle. Remember mind mapping is designed to get you thinking from both your left and right brain. The doodles keep the creative mind active while the analytical handles the notes.
In the image above you see the star drawn around the joint venture idea. This might represent an idea I think is a great way to improve the budget. If I have sub ideas from there, I can simply draw branches off from that idea into sub ideas.

Personally, if someone says something that is important to a topic, subtopic or idea I like to draw a branch off from that item and write in their name and then branch off from their name. If you've ever had to explain who said what when this is an excellent way to track back and credit the right people.


In traditional note taking, many of these sub ideas and can be lost or forgotten (buried under larger concepts). Mind mapping makes the ideas stick out.


Tip: Don't be afraid to link one sub item to a totally different agenda item. Simply draw a line with or without an arrow linking one thought to another.

To create a MindMap using MindMapper for a meeting:


1. Write the main idea in the center box.
2. Write each agenda item in the circles linked to the outside of the main idea.
3. As the meeting progresses, draw lines pointing to sub-thoughts, ideas, facts and figures.
4. Draw pictures and interlink items with or without arrows.

To use MindMapping with MindMapper for a home improvement project:

1. Write the main goal of the project in the center box.
2. Write sub categories in the circles linked to the outside of the main idea. (Categories such as budget, supplies needed, when to do it, and hire contractor? are some common categories for a home improvement project.)
3. Just like with meetings, expand each category with ideas, facts and figures by drawing a branch and writing the idea.

After you've made your first few mind maps, you'll see how much more organized you'll feel. Mind mapping helps unlock your creative mind so you aren't forgetting details or losing those little tidbits of information that make or break a project. Mind mapping will make you more effective during meetings because you'll be able to understand the concepts and interlink them in new ways. Where everyone else is sitting bored and clock watching, you can be an active part of the meeting. It might just get you a raise.

Business Process Mapping

Business Process Mapping refers to activities involved in defining exactly what a business entity does, who is responsible, to what standard a process should be completed and how the success of a business process can be determined. Once this is done, there can be no uncertainty as to the requirements of every internal business process.

ISO 9001 requires a business entity to follow a process approach when managing its business, and to this end creating business process maps will assist. The entity can then work towards ensuring its processes are effective (the right process is followed the first time), and efficient (continually improved to ensure processes use the least amount of resources).


Early history

The first structured method for documenting process flow, the flow process chart, was introduced by Frank Gilbreth to members of ASME in 1921 as the presentation “Process Charts—First Steps in Finding the One Best Way”. Gilbreth's tools quickly found their way into industrial engineering curricula. In the early 30's, an industrial engineer, Allan H. Mogensen began training business people in the use of some of the tools of industrial engineering at his Work Simplification Conferences in Lake Placid , New York. a 1944 graduate of Mogensen's class, Art Spinanger, took the tools back to Procter and Gamble where he developed their Deliberate Methods Change Program. Another 1944 graduate, Ben S. Graham, Director of Formcraft Engineering at Standard Register Corporation, adapted the flow process chart to information processing with his development of the multi-flow process chart to displays multiple documents and their relationships. In 1947, ASME adopted a symbol set derived from Gilbreth's original work as the ASME Standard for Process Charts.

How to Brainstorm

When we talk about brainstorming we mean --

collecting ideas about a concept or topic through the free association of all members in a group.

Brainstorming is effective because it encourages participants to freely express their ideas about a topic in order to develop a range of things that might be included

• To support participants in spontaneously proposing ideas and/or solutions, certain ground rules need to be established and roles designated. There must be a recorder, someone who writes down all responses.
• A facilitator asks for elaboration when necessary and when no one else in he group does.
• Censoring of responses is not allowed. Any and all responses are listed.
• Don't underline obstacles when you are brainstorming, just list the possibilities.
• Sometimes a participant repeats a response that already exists. Encourage the participant to come up with her own idea.

Here are some tips about the process:

• Produce a great number of ideas
• Record all ideas
• Allow no criticism - focus on quantity, not quality
• When you're out of ideas, force yourself to add three more - innovation and creativity can surface after the apparent solutions have been exhausted
• Brainstorm with a group
• Let one idea give you another idea
• Include outrageous and off-the-wall ideas
• If you brainstorm alone, write continuously for another 5 minutes after you feel like you've run out of ideas
• Only after brainstorming, think through the ideas and begin narrowing the list

Here are some other important “do’s and “don’ts”

1. Do collect as many ideas as possible from all participants with no criticisms or judgments made while ideas are being generated.
2. Do welcome all ideas are welcome no matter how silly or far out they seem. Be creative. The more ideas the better because at this point you don't know what might work.
3. Don’t allow discussion during the brainstorming activity. Talking about the ideas will take place after brainstorming is complete.
4. Don’t criticize or judge. Don't even groan, frown, or laugh. All ideas are equally valid at this point.
5. Do build on others' ideas.
6. Do write all ideas on a flipchart or board so the whole group can easily see them.
7. Do set a time limit (i.e., 30 minutes) for the brainstorming.

Follow this Brainstorming Sequence:

1. One team member should review the topic of the brainstorm using "why", "how", or "what" questions. Example: The topic for the brainstorm is developing a training course on automobiles. What should we focus on as the content?
2. Everyone should think about the question silently for a few moments. Each person might want to jot down his/her ideas on a sheet of paper. Example:(1) Types of cars; (2) Parts of cars; (3) Car manufacturers; (4) Categories of cars; (5) How cars work.
3. Everyone suggests ideas by calling them out. Another way is to go around the room and have each person read an idea from his/her list until all ideas have been written on the board or flipchart. (Note: The team member in charge of the brainstorming session should be enforcing the rules.)
4. One team member writes down all ideas on board or flipchart.

Making the final selection:

1. When all the ideas have been recorded, combine ideas as much as possible, but only when the original contributors agree. Example: (1) Types of cars and (4) Categories of cars (from example under #2 above) are really the same, so number 4 is eliminated.
2. Number all of the ideas.
3. Each member votes on the ideas by making a list of the numbers of the ideas he/she thinks are important or should be discussed further. This list should contain no more than one third of the total number of ideas.
4. After counting the votes, cross out ideas with only one or two votes. Then vote again until only a few ideas remain(i.e., 3 or 4). If there is no clear-cut winner, then vote again or discuss the remaining ideas and determine which idea best answers the original question.

The Road Ahead

How 'intelligent agents' and mind-mappers are taking our information democracy to the next stage.

Issues 2006 - It's hard to say exactly when it happened, but at some point in the last 20 years the word "knowledge" became an adjective.

As intellectual property became increasingly important to businesses, and personal computers started appearing on every desktop, employees morphed into knowledge workers, companies began to focus on knowledge management and key information was stored in knowledge bases connected? in theory? via knowledge networks.

The result was the knowledge economy, a phenomenon that has transformed the business of business and helped entire emerging economies to compete globally.
But this is only the beginning. Most of the "knowledge" on which the knowledge economy is built is actually just information? data, facts and basic business intelligence.
Knowledge itself is more profound. As management guru Tom Davenport once put it, "Knowledge is information combined with experience, context, interpretation, and reflection."

It's the knowledge derived from information that gives you a competitive edge.

Most of us now live in an "information democracy"? if you have access to a PC and the Internet, you can tap into almost all the information that is publicly available worldwide.

Advanced software and Web services can help trace, slice and dice the information in ways that were impossible only a decade ago.

But while we've gone a long way toward optimizing how we use information, we haven't yet done the same for knowledge.

This is a vast growth opportunity, and a surprisingly tough challenge. While information wants to be free, knowledge is much "stickier"? harder to communicate, more subjective, less easy to define. For instance, the knowledge you accumulate throughout your career? the "tacit" knowledge, rather than the "explicit" knowledge found in, say, manuals or textbooks? defines your value to the organization you work for.

Your ability to combine it with the knowledge of co-workers, partners and customers can make the difference between success and failure? for you and your employer.
Yet today, even locating sources of knowledge within complex organizations can be daunting.

But as software gets smarter about how people think and work, it's starting to help them synthesize and manage knowledge, too. Some of this technology is deceptively simple.
Software such as our own OneNote helps people take and organize their typed and sketched notes using a "pen and paper" approach that is more abstract than text-based word processors.

On another level, One Note and a new generation of "mind-mapping" software can also be used as a digital "blank slate" to help connect and synthesize ideas and data? and ultimately create new knowledge.

Researchers at Microsoft and elsewhere are developing technology that can unobtrusively "watch" you working, then make suggestions about related subjects or ideas. Interestingly, even if the software makes a bad guess, it can still be valuable in helping spark new ideas.
Computer scientists are also making progress against a long-held dream of "intelligent agents" that anticipate your needs and provide just-in-time information that's relevant to the work you're doing.

Experimental programs known as reasoning engines can test your ideas against common-sense logic, spotting flaws in hypotheses and acting as "virtual subject experts" to help guide your thinking.

These technologies promote consilience? literally, the "jumping together" of knowledge from different disciplines.

They help people combine their own ideas with at least some existing knowledge far more efficiently than was previously possible.

But they also leave a key problem unsolved: how to unearth all the new ideas that are being generated around the world.

Today's search engines are good at locating tidbits of information in an ocean of data, and even at finding answers to simple questions.

The next step is pattern-recognition engines and mental models to help people mine and assess the value of all that information, and technologies that infuse online data with meaning and context.

None of this is science fiction: the technologies that make it possible already exist.
The power they hold is hard to exaggerate. Inventor Robert Metcalfe theorized that the value of a network is roughly equal to the square of the number of people using it. "Metcalfe's Law" applies equally to knowledge: being able to tap into the world's finest thinkers as easily as we can now search the Web for information will revolutionize business, science and education. It will literally transform how we think? and help us finally realize the potential of a truly global knowledge economy.

FINDING YOUR WAY: THE GUIDE TO MINDMAPPING

Right now, we're living in an age when everyone is trying to find an advantage -- whether it's an easier way to get to work, a more efficient system to organize the office, or a way to increase creativity and productivity in the workplace. Each day finds new and innovative approaches to old ways of thinking and mindmapping is no exception.

For those of you who aren't familiar with mindmapping, basically it's a way of organizing your thoughts and ideas in a non-linear way. Why is that important? Basically, the brain doesn't think in linear fashion. It moves from thought to thought, connection to connection -- moving quickly from Point A to Point E to Point B, etc. Mindmapping is a great way to create a well-organized presentation or project.

But how does it work?

First of all, our entire system of thinking through the years has taught us to begin in the upper left-hand corner of a page. This is a product of our very linear education system. But the brain automatically gravitates towards the center -- so mindmapping has us put our main word or thought in the center of the page.

The next thing that mindmapping teaches us to is let go of the big picture for a moment. Push away all the stress and anxiety that might be hitting you at the start of the project. Instead, just dump the ideas out of your brain onto the page. This isn't the time to worry about whether or not the boss is going to be blown away by your presentation. Time enough to worry about that later on. Right now, you just need to have a little fun -- don't hold back. Whatever comes to mind, go ahead and use it.

Free association now enters the picture. As your ideas explode onto the page, you'll put one- and two-word descriptions and "branches" onto the page. At this point, you're going to want to eliminate the little "editor" that we carry around in our heads. Don't hold back. Just go from one word to another to another. For example, if one of your words is "green," you might free associate with "money" and "environment" and "forest" and "magic." (See how that last word doesn't even have anything that I can figure out has to do with "green," but I put it out there so that it can be viewed later on.)

Another important aspect of mindmapping is speed. The human brain works best in five minute spurts. Therefore, get those ideas down as rapidly as possible. By using short words and phrases, you'll be able to pack things onto the page that can be examined later on.

Forget the old rules. Mindmapping means that you aren't bound by a typical 8 ½ by 11 inch piece of paper and a black pen. With the mindmapping software out there, the sky's the limit -- colors, thicknesses, images. They're all there and they're all part of the process that you can use to generate a final product that is going to be lightyears beyond what you've done before.

Don't worry about what you're putting down. When you're mindmapping, you want to get as many ideas as possible onto the page. That means that if you suddenly remember that you've got to get the dog groomed, write down "grooming." If you try to push it out of your mind, it'll get stuck there.

Keep on truckin'. Make sure that you don't stop. You want to keep going so if you find that you're not moving forward, make a shape or stick in a picture or just jot down something else. Change colors. Change the thicknesses of the lines. Do whatever it takes to make sure that you don't lose that forward momentum.

At times, you're going to see immediate connections to your theme but don't worry if they're not apparent at first. You can always sit down and study what you've done at some future time. The first thing to do is get those ideas out of your head and onto the paper.

Keep in mind that mindmapping takes practice but the more that you do it, the more that you'll see it's opened up entirely new ways of thinking that previously were not available to you. By freeing your mind to go down new avenues not expected, you just might discover that you're on the new path to success.

Three basic types of map

Earlier postings have mentioned the importance of having a clear purpose for a software mind map. In this posting we will look at three basic "types" of map. Although this might seem at odds with the divergent thinking and creativity that characterises mind maps, it is important when sharing maps with others that they understand what you are trying to achieve. There are more than three basic types, but these are the scenarios that occur frequently in business life.
"Library" maps

A Library map is a collection of reference information for the purposes of

*transferring information and knowledge
*storing and recovering useful materials
*understanding or learning something

The focus of a library map is the subject. Topics can be sub-headings or statements that are expanded, and the position of a piece of information represents its relationship to the bigger subject.

A common issue with Library maps is that the same piece of information "belongs" in more than one place - chairs can be classified as both furniture and as things made from wood. Not all Furniture is chairs, neither are all Wooden Things chairs. Do we put chairs under Wooden Things or furniture, or both? How do we decide? Or do we use a database instead? One solution is to decide on a major classification scheme where everything appears once, then identify other groupings with colours or icons.

Other users will typically navigate the map themselves by following signposts to the resources they seek.

"Presentation" maps

A Presentation map is a story or an argument, designed to
Inform an audience in a directed fashion
Argue a proposition or case
Make a call to action
The focus of a presentation map is the audience themselves, although you would not necessarily write that in the central topic. The positioning of information is relative to the audience's viewpoint, and the deeper it is in the map, the more involved they are. The development of arguments away from the centre builds on inductive thinking that justifies or amplifies higher level statements, and if your audience is still with you, then you are well placed to add more detail to the foundations you have laid.

Topics near to the centre are major statements that easily connect to your audience's world view. You can see this kind of architecture in most marketing materials - the opening gambit is usually to get you to identify with a problem or issue. Presentation maps should use statements rather than headings, and should retain their integrity when viewed at different levels of detail. You can then use the same map for the two-minute briefing to the board of directors, or the two-hour version for the technical nit-pickers. Presentation maps will also need to follow a sequence, for example clockwise.

"Tunnel Timeline" maps

A Tunnel Timeline map is a map that is designed around delivering an outcome. The primary purpose of this kind of map is to visualise success. You are drawing a picture of what success looks like, and showing the actions on the path or paths to reach it. Use Tunnel Timelines for
Project outlines and plans
Strategies
Problem solving
Topics at or near the centre of the map represent the successful outcome, and topics near the edges are the next actions to take towards those outcomes. The relationship with a "tunnel" is that the map shows your project as the light at the end of the tunnel, with your next actions around the walls nearest to you. As you make progress towards the centre, you complete the actions and decisions along the way. Major milestone topics in the map should be written as outcomes to keep you focused on achievement, e.g. "reject rate is 3%" or "client has renewed contract". This is the key benefit of visualising projects in software mind maps - you stay focused on your objective and keep your eye on where you want to go, not on your short-term direction. Responding to changes and obstacles is easier if you are focused on the big target, and a continual visual reminder of objectives is a positive force. Participants in your project or strategy can see where it is headed, and can understand how their contribution takes it forward.
